Terms & Policies

By registering a child for weekly sessions at Spotlight School of Performing Arts Ltd ("Spotlight"), the parent/guardian confirms that they have read, understood and agreed to the following Terms & Conditions.

1. Registration & Booking

  • A place at Spotlight is confirmed once the required registration information has been completed and the relevant fees have been paid or an agreed payment arrangement has been put in place.
  • Places are limited and are allocated on a first-come, first-served basis where applicable.
  • A child's place is reserved for them for the agreed term. Regular attendance is encouraged to ensure continuity and progression.
  • Spotlight reserves the right to refuse or withdraw a place where there are serious or repeated breaches of these Terms & Conditions, our Code of Conduct or safeguarding requirements.

2. Fees & Payment

  • Weekly session fees are payable in accordance with the payment schedule communicated by Spotlight.
  • Where a termly fee is charged, the full term fee is payable regardless of individual attendance, unless otherwise agreed in writing.
  • Fees cover the child's place within the programme and not individual sessions attended.
  • Spotlight may offer sibling discounts, promotional offers or other discounts from time to time. These are subject to the terms of the individual offer and may not be combined unless expressly stated.
  • Any outstanding fees must be paid promptly. Spotlight reserves the right to suspend attendance where fees remain unpaid.
  • Spotlight reserves the right to review its fees and will provide reasonable notice of any changes.

3. Absence & Missed Sessions

  • If a child is unable to attend a session, parents/guardians should notify Spotlight as soon as possible.
  • Fees will not normally be refunded or reduced because of a child's absence.
  • Spotlight may, at its discretion, offer a catch-up opportunity where appropriate, but this cannot be guaranteed.
  • Missed sessions cannot normally be carried forward to a future term.

4. Cancellation & Withdrawal

  • Parents/guardians wishing to withdraw their child from Spotlight should provide notice in writing.
  • Once a term has commenced, fees are generally non-refundable because the child's place has been reserved for the term.
  • Where a child withdraws before the start of a term, any refund will be considered at Spotlight's discretion, taking into account any costs already incurred.
  • If Spotlight is required to cancel a session, an alternative arrangement may be offered where reasonably possible.
  • If Spotlight cannot provide an alternative session or equivalent arrangement, an appropriate credit or refund may be offered.

5. Punctuality

  • Children should arrive on time and be ready to participate at the advertised start time.
  • Parents/guardians should collect children promptly at the end of the session.
  • Repeated late collection may result in additional arrangements being required and, where appropriate, additional charges.

6. Drop-Off & Collection

  • Parents/guardians remain responsible for their child until the child has been accepted into the session by a member of the Spotlight team.
  • At the end of the session, responsibility returns to the parent/guardian once the child has been collected.
  • Children must only be collected by a parent/guardian or another person authorised by the parent/guardian.
  • Spotlight must be informed in advance if someone other than the usual person is collecting a child.
  • If a child is permitted to leave independently, written parental/guardian consent must be provided where required by Spotlight's procedures.

7. Safeguarding

  • Spotlight is committed to providing a safe, welcoming and inclusive environment for all children and young people.
  • All staff and volunteers are expected to follow Spotlight's safeguarding procedures.
  • Any safeguarding concern will be dealt with in accordance with Spotlight's safeguarding policy and applicable legislation/guidance.
  • Parents/guardians are expected to provide accurate and up-to-date emergency contact and medical information.
  • Spotlight reserves the right to contact a parent/guardian, emergency contact or appropriate authority where there is a genuine concern for a child's welfare or safety.

8. Medical Information & Additional Needs

  • Parents/guardians must inform Spotlight of any medical conditions, allergies, injuries, disabilities, additional needs or other relevant information that may affect the child's participation.
  • Parents/guardians must notify Spotlight if any medical information changes.
  • Spotlight will make reasonable adjustments where possible to support individual children.
  • Spotlight cannot be held responsible for information that has not been disclosed to us.

9. Illness

  • Children should not attend sessions if they are unwell or have an infectious illness that could reasonably put other children, staff or volunteers at risk.
  • Spotlight reserves the right to ask a child to leave a session if they become unwell.
  • Where a child becomes unwell during a session, the parent/guardian may be contacted and asked to collect them.
  • Missed sessions due to illness remain subject to the normal absence and payment terms.

10. Behaviour & Code of Conduct

  • Spotlight expects all students to treat staff, volunteers and other students with respect.
  • Bullying, harassment, threatening behaviour, discrimination, violence or deliberately disruptive behaviour will not be tolerated.
  • Students are expected to follow reasonable instructions from Spotlight staff.
  • Spotlight will aim to deal with behavioural concerns fairly and proportionately.
  • Where serious or repeated behavioural issues occur, Spotlight may contact the parent/guardian and agree appropriate next steps.
  • In serious circumstances, Spotlight reserves the right to suspend or withdraw a child's place.

11. Clothing & Personal Belongings

  • Children should wear suitable, comfortable clothing and footwear appropriate for singing, acting and dancing.
  • Spotlight may provide or require specific clothing, costumes or branded items for performances or events.
  • Children should avoid bringing valuable or unnecessary personal belongings to sessions.
  • Spotlight cannot accept responsibility for lost, damaged or stolen personal belongings unless caused by proven negligence.

12. Performances & Events

  • Spotlight may provide opportunities for students to perform in showcases, productions, community events and other performances.
  • Participation in performances may require additional rehearsal time, costumes, tickets, venue arrangements or other costs. Parents/guardians will be informed of any additional charges before they are incurred.
  • Participation in a performance is not guaranteed and may depend on attendance, suitability for the production, rehearsal commitment and safeguarding considerations.
  • Parents/guardians agree to support reasonable rehearsal and performance requirements where their child is participating in a production.

13. Photography, Video & Media

  • Spotlight may take photographs or videos during classes, rehearsals, performances and events for safeguarding, educational, promotional and archival purposes, subject to the media consent provided by the parent/guardian.
  • Separate consent will be obtained where required.
  • Parents/guardians should notify Spotlight if their consent preferences change.
  • Spotlight will handle personal information and media in accordance with its privacy and data protection procedures.

  • Spotlight may occasionally need to change session times, venues, teachers or arrangements due to circumstances outside its control.
  • Spotlight will provide as much notice as reasonably possible of any significant changes.
  • Where a session cannot take place as planned, Spotlight will endeavour to provide a suitable alternative where reasonably possible.
